  • Rackforce alerted us by email and sms
  • I tried starting the service in the morning but the server was at full cpu usage. So i had to try multiple times before the service could start. I manually deleted few junk mails of kathy from the queue to reduce load, and now the server is working fine.

DMAI

  • Nl sent yesterday between Tue, 11 Mar 2008 19:08:58 +0530 and Tue, 11 Mar 2008 19:28:35 +0530
  • In 20 minutes, approx. 1700 emails. (This is a guess figure based on the logs).
  • Many emails got rejected by the recipients server. When a rejection occurs, the email is kept in queue and retried after 15 minutes.
  • Now each time before sending spam/virus checking occurs. So every 15 minutes there is a load on server till the queue is empty.

Kathy

  • Kathy has a redirect setup for all her email ids hosted on our server to her optonline id.
  • So all the spam mail which she receives, our server forwards it to optonline. But optonline will think that we are spam senders and hence keeps blocking the spam emails. As a result our queues are always filled with kathy's spam mail. Only after multiple attempts either optonline accepts the email or it gets bounced back.
  • Today i manually deleted of many of kathy's spam mail to reduce the load on server.

edesk nl

  • eDesk nl was sent between Wed, 12 Mar 2008 01:16:40 +0530 and Wed, 12 Mar 2008 01:23:29 +0530
  • In 7 minutes, around 1260 emails were sent.
  • Only a couple of emails were pending when i checked the server this morning. So all edesk emails were already sent. The couple of emails remaining had bounced even last time. So i manually deleted them this time and i wil also b opting them out as per our usual practise to keep our list clean.
  • So although edesk nl did not contribute to pending emails but it must have put a load on the server. So the combined effect of pending mails and fresh mails must have caused the SMTP service to terminate.

Possible Solutions

  • Have a separate server for mail server.
  • This way load can be distributed as major server load is due to spam / virus check.
  • Provide all our clients who wish to send more than x number of emails with an independant ip address on our server at an extra cost. I can ask rackforce for costing. Normally they allot multiple ips only in case of geniune requirements. I think this is a geniune requirement and should not be an issue. If we do this with, then in one shot we get out of picture. Now the client will have an independant ip hence the blacklister will identify the client and not us as the spammer. Now if the mails dont go because the clients ip is blacklisted, the client cannot blame us. Also one clients actions will not affect our other clients.

Issues for which research is required

  • When a client sets up a forward and then receives multiple spam emails, we will be identified as spammers and our IP will be blocked for no fault of ours.
  • When a client runs a mass mail with too many invalid ips in a short span, servers wil auto-block our mail server.
  • When a client sends out spam mail, it wil be our ip address which will b identified and blacklisted. And all our other clients will also suffer. I am not sure whether legal responsibility is also on us because it was our ip address which was used.
  • How are others sending out 1 lakh emails from one email id without getting blacklisted.

  • I also came across twain components which can communicate with your scanner directly to capture the images. It costs $293. Any such GPL Licensed components should also be useful as they will remove the need for the user to first use his scanning software and then use eDesk OCR. [2]

  1. point 1: edesk is not registered in andhra pradesh. need to change that.
  1. point 2: Last month I read an article where IT dept said that in case of hourly compensation to contractors, if the contractors are required to maintain logs and are under the supervision of the company, then such work is similar to an employee because supervision can only be done on an employee. A contractor on the other hand is given a task and the company is concerned only with the output of the task and not in supervision of the task. So in such a scenario, the contractor will be classified as an employee and tds provisions apply.

I dont remember the exact wordings used but it was something to this effect. It also mentioned that the IT dept will look closely into all such cases.


So I suggest mentioning in the contract, that the contractor will be given a particular assignment which is within the scope of this contract and a deadline shall also be provided along with the work details. The contractor will be completing the work out of his own premises and submit the completed work to the company within the deadline. The company is interested in the final output of the work outsourced and not interested in the manner in which it is performed and shall not be supervising the work during the pendency of the work. The contractor will maintain a faithful work log of the man hours used for the job; based on which the payments will be made.
